Employees’ Provident Fund: Learn what corrections can be made to your UAN profiles and which documents are accepted

The Employees’ Provident Fund Organisation (EPFO) has issued a set of standard operating procedures to streamline the process of correcting employees’ profiles. This move will prevent cases of impersonation and fraud along with making things simpler and more secure for employees.

A Universal Account Number (UAN) is a 12-digit number that identifies an employee’s contributions to the Employee Provident Fund (EPF). Here is what you can update or correct in your UAN profiles:

All minor and major corrections requests need to be supported by at least two documents for minor changes, and at least three documents for any major changes.

Here is a list of documents that are required for the various corrections that can be made:

Passport of Father/Mother

Ration card/PDS card

CGHS/ECHS/ Medi-Claim Card with photo issued by Centre/State Govts/ PSUs

Pension card

Birth certificate issued by Municipal Corporation and other notified local government bodies like Taluk, Tehsil etc.

Marriage certificate issued by the government

Photo ID card issued by Central/ State Govt like Bhamashah, JanAadhaar, MGNREGA, Army canteen card etc.

Documents Accepted to Update or Correct Date of Birth

Birth certificate issued by the Registrar of Births and Deaths.

Marksheet issued by any recognized Government Board or University, School Leaving Certificate (SLC)/ School Transfer Certificate (TC)/ SSC certificate containing Name and Date of Birth

Certificate based on the service records of the Central/State Government Organizations.

In the absence of any of the above, a medical certificate is required to be issued by a Civil Surgeon after examining the member medically. This needs to be also supported by an affidavit by the member duly authenticated by a competent court.

In case of full name/first name change request, the PF member must submit the Gazette notification of new name along with any supporting document of old name with photograph (even for first instance of the full name/first name change).

Valid visa along with valid foreign passport issued in case of other foreign nationals

Copy of Person of Indian Origin (PIO) card issued by Government of India

Copy of Overseas Citizen of India (OCI) card issued by Government of India

Tibetan Refugee Card (Accompanied by one more ID).

Documents Accepted to Make Changes or Corrections in Marital Status

Marriage certificate issued by the government

Aadhaar card

Divorce decree

Passport

Documents Accepted to Make Corrections to Employees’ Date of Joining

Employee register

Attendance register

Appointment letter or any other document as establishment maintain under any central or state labour act

Letter of establishment on their letter head clearly stating the date of joining and duly signed by employer or the authorized signatory supported by ECR of the employee during the said period.

Documents Accepted to Make Corrections to Employees’ Reason for Leaving

Resignation letter

Letter from establishment on their letter head clearly stating the reason of leaving supported by ECR of the employee during the said period

Termination letter issued to employee

Any document as establishment deems fit to establish exit reason of employee duly signed by the Employer or the authorized signatory of the establishment on their letterhead.

Documents Accepted to Make Corrections to Employees’ Date of Leaving

Resignation letter/termination letter

Experience certificate or any other document as establishment maintain under any central or State labour act

Wage slip/salary slip/full and final letter

Letter of establishment on their letter head clearly stating the date of joining and duly signed by Employer or the authorized signatory.

Aadhaar card/e-aadhaar card with linked active mobile phone.

Under the new SOP, minor requests will be processed within seven days, while major requests will be processed within 15 days. An online system of tracking of applications will ensure transparency and accountability.

These SOPs will not only streamline the process, but also enhance the security and authenticity of member profiles.
